2013 WORKERS' COMPENSATION INSURANCE PROGRAM

Workers' Compensation (WC) insurance is required by law by the States of New Jersey, New York and Pennsylvania and is part of the Greater New Jersey Annual Conference's property insurance program. 

This insurance covers employees (full and/or part-time workers who receive compensation in any form for the job they do for the church), for injuries sustained while performing their duties.

Workers such as those doing lawn services on a regular basis must be covered ("payroll" reported) by the church policy if the church does not have a copy of a current WC insurance certificate for the workers on file. 

Volunteers are not covered under workers' compensation insurance.  

All on-the-job injuries should be reported immediately to Tiffany M. Lupo at Sovereign Insurance Group (800) 222-4478, ext. 3389, even if an insurance claim is not anticipated.

 

The Annual Workers' Compensation Payroll Audit

Each year, an annual WC payroll audit takes place (not to be confused with the local church audit, now called the Fund Balance Report).  Once again, FORMS ARE NOT BEING MAILED. 

Below are separate packets for the 2012 audit of payroll for New Jersey, New York and Pennsylvania churches.  The audit can be completed in Word, then faxed or emailed (save file!) or printed and completed by hand for mailing.  COMPLETED AUDITS ARE DUE February 15, 2013.

It is not necessary to have the form filled out by a professional. Persons with access to payroll information and paid bills can complete the audit. 

Payroll is reported as a lump sum for a given category; however, the definition of "payroll" for WC is not straightforward, and it is extremely important that the person completing the form read the instructions carefully BEFORE completing the form. Questions about what to include as "payroll" should be directed to the Insurance Coordinator (see below).

 

Workers' Compensation Premiums

Workers' Comp premiums are calculated using

  • the premium set by each state and
  • the payroll reported on the most recent audit 

This annual premium appears on the Church Billings Statement separately from property insurance premiums.  Churches with church sponsored schools/day care programs receive a second WC premium invoice for these programs.  

Accurate reporting of payroll ensures a WC premium that is fair and reasonable.
